Cancellation & Withdrawal Policy

At Northern Edge Sport Association, we strive to provide high-quality programs, maintain safe class ratios, and plan staffing and scheduling based on committed enrolment. The following cancellation and withdrawal policies help us operate smoothly and fairly for all participants.

General Cancellation Policy

  • A $30 administration fee is applied to all gymnastics, dance and birthday party cancellations initiated by the participant.

  • Programs cancelled by Northern Edge Sport Association are fully refundable with no penalty.

  • Refunds are issued as account credits only. We do not offer cash refunds.

Fitness Class Cancellations

  • 12 hours written notice is required for fitness class cancellations.

  • A $2 administration fee applies to all eligible refunded fitness class cancellations.

  • Cancellation requests will not be accepted through the registration software, text, phone, or messenger. This ensures staff can manage waitlists efficiently.

  • Cancellations received within 12 hours of the class start time will not be refunded.

Recreation Program Withdrawals

  • Recreation program withdrawals require 2 weeks written notice emailed to info@northernedgesport.ca.

  • Because staffing and scheduling are based on enrolment, all classes that fall within the 2-week notice period will still be charged.

Drop-In Class Cancellations

  • 12 hours written notice via email to info@northernedgesport.ca is required for drop-in cancellations.

  • Late cancellations (within 12 hours) will not be refunded.

Competitive Gymnastics Withdrawal

  • Withdrawal from a competitive program requires 30 days written notice emailed to competitive@northernedgesport.ca, up until October 30th.

  • Fees remains payable during the 30-day notice period.

Competitive Meet Fee Cancellations

  • Meet fees must be cancelled before the meet host’s cancellation deadline.

  • Families are responsible for any non-refundable portions of fees already paid by NESA on the athlete’s behalf.

  • Many hosts allow partial reimbursement for illness with a doctor’s note, but policies vary.

Birthday Party Cancellations

  • 2 weeks written notice via email to info@northernedgesport.ca is required to receive an account credit for birthday party cancellations.

REGISTRATION AND INSURANCE FEES:

INSURANCE FEES: All participants in classes or regular drop-in must be insured before taking part in the program.  Insurance is paid to Gymnastics BC (GBC) and is valid from September 1st – August 31st of the following year (1-year insurance). The fee will added to your account at a later date.

THIRD PARTY BILLING: can be arranged, but must be paid before the session. A $30 administration fee will be applied to all Third Party Billing requests taking place after the session start date.

Northern Edge Sport Association will not tolerate discrimination or unfair treatment on any grounds.
